The Administrative Assistant primarily supports all aspects of office administration and coordination of the work of the Dean of OICE, the Assistant Dean of Intercultural Education and Advisor to Latinx Students, the Assistant Dean of Intercultural Education and Director of Harambee House, the Assistant Dean of Intercultural Education and Advisor to students of Asian Descent, and the Assistant Dean of Intercultural Education and Advisor of LGBTQ Programs and Services. The responsibilities include office management, directing communications, budget and fiscal management, managing short and long term projects including event logistics, and supervising work study students.
Primary Responsibilities:

1. Managing the day to day responsibilities of the office: Serving as receptionist for the Office of Intercultural education at Billings and Harambee House, answering telephone and email inquiries and directing communications,filing, calendar management, coordinating space reservations for use of the Intercultural Education Center and Harambee House, overseeing the library, and ordering and maintaining stock of office supplies.
2. Managing short and long term projects such as programs and events, including but not limited to reserving space, contracting with vendors, managing publicity, staffing the event or coordinating student staffing for the event.
3. Budget and fiscal management: responsible for processing all budgetary transactions in a timely manner, reconciling the budget, and providing counsel to supervisors regarding spending within the budget.
4. Technological support: Maintain, keep up-to-date several of OICE’s websites: prepare or oversee the development of program/event advertisements to be used on email lists, Facebook pages, and printed posters/brochures.
5. Supervising student workers: coordinating schedules, assigning tasks, monitoring work, approving time sheets and assessing performance.
6. Other duties as assigned by the Dean of OICE and/or the Assistant Deans.
7. Other duties as assigned within the Division of Student Life.

Requirements

• Bachelor degree is required.
• Extensive experience in a high energy environment that required the ability to prioritize projects effectively
• 2 – 3 years administrative experience in higher education or business
• 2 – 3 years expertise in office and event management;
• Computer skills in social media, Power Point, Workday, Banner, Filemaker Pro, Excel, Microsoft Word, Adobe Photoshop, Drupal and Internet;
• Ability to multi-task; organization and attention to detail;
• Strong oral and written communication skills.
• Strong interpersonal skills; understanding of the higher education environment; and sensitivity to and ability to work within a highly diverse community.
