Description

The Work Center Analyst will primarily be responsible for the day to day operations of the planning/scheduling of personnel for Facilities Management work orders, including staff forecasting and resource allocation. The primary responsibility will be the oversight of the Events Management team within the Facilities Management & Planning department and the Preventative Maintenance (PM) program.

The Events Management team will consist of dedicated hourly employees that will solely be responsible for all events related requests on campus. Working closely with the Operational Managers (Custodial, Grounds & Trades) when additional support is needed.

This position will interface with TMA (Work order system) to capture all chargeable time associated to work orders. Continuously generating work order reports to review progress.

Create and maintain a positive working relationship with the Capital Project team, operational staff and contractors. Will be responsible to send out campus wide notifications for any facilities management work (Scheduled, routine or emergencies). The position directly reports to the Service Manager, and works closely with the Director of Operations and other operational managers.

1. Oversight of the day to day activities to the Events Management team, including the coordination of the set up and break down of all scheduled events on campus. This position is critical to the success of the Events Management team.
2. Communicating with the Operational Managers (Custodial Manager, Grounds Manager, Maintenance Service Manager) when technical assistance is needed for requested events.
3. Working closely with the Operational Managers (Custodial Manager, Grounds Manager, Maintenance Service Manager and Power Plant) coordinating and scheduling preventative maintenance tasks for identified assets on campus.
4. Communicate with faculty, staff and students in regard to their requests to ensure utmost customer satisfaction. Responsible for updating the community of work that may impact daily operations using college approved forms of communication such email or the Facilities Management website. This could include such an instance as a road closure or utility shutdown.
5. Run dedicated reports on all department areas to track progress.
6. Provide backup support for the Customer Service operations and Front Office staff as needed.
1. Events Management Team -
Documenting all of the respective chargeable labor hours and materials to events work hours.
Indirect supervision of the four hourly employees dedicated to performing all of the events on campus.
2. Work order data -
Establish standard work order reports (Custodial, Events, Grounds, Power Plant, Trades, and Preventative Maintenance) for the Facilities Management team to review backlog, costs and projections.
3. Preventative Maintenance Program – Initial startup of program.
Working with respective operational managers to ensure that proper resources are identified to take the preventative maintenance program from a reactionary to a proactive initiative.
Scheduling and communicating the work with the many building end users.

Requirements

• Associates Degree or equivalent work experience.
• Overall, a minimum of three (3) years of experience
• Minimum of three (3) years of experience overseeing successful planned and major maintenance and construction projects related to MEP related tasks, in particular utilities, central and cogeneration plant and compliance issues.
• Experience with financial tracking system such as Work Day, Banner, etc.
• Experience with a Computerized Maintenance Management System (CMMS) including the Preventative Maintenance module.
• Experience in a higher education setting preferred.
