Description

The Program Manager for Fellowships will provide logistical coordination and student support for many aspects of the expanding fellowships program of Wellesley College. Reporting to the Program Director for Fellowships, this position plays a key role in administering many of the crucial day-to-day activities of both Wellesley-funded fellowships and campus competitions for national and international awards, including supporting students and alumnae as they consider, apply for, participate in, and grow from various fellowship experiences. In coordination with the Program Director for Fellowships, this position will manage program administrative procedures for Wellesley College and external opportunities and related program events, including information sessions, presentations, workshops, and program activities. In addition, this individual will take responsibility for advising and management of designated competitions appropriate to the Manager’s background and experience.

General Program Management

-In collaboration with the Program Director for Fellowships, maintain, develop, and improve policies, resources, and procedures relevant to the standards set for the Wellesley College fellowship programs
-In coordination with the Program Director for Fellowships and the Budget Administrator, as well as with appropriate campus partners, oversee and maintain program budget and the multiple College funds that enable fellowship and scholarship opportunities, including reviewing and approving Wellesley fellowship awards, and processing fund allocations and reimbursements related to program execution.
-Provide logistical assistance to students and alumnae submitting fellowship applications
-Provide logistical assistance to faculty, staff, and alumnae serving on campus fellowship committees, and maintain clear communication about program policies, procedures and timelines
-Ensure completion of Wellesley fellowship award requirements by enforcing program policies (application processes and participation requirements) and maintaining regular communication with applicants and program participants
-Provide logistical assistance for foundation representatives visiting campus
-Provide logistical support to students and alumnae as they prepare to embark on Wellesley-sponsored fellowship opportunities.

Program Development and Advising

-Take primary responsibility for advising and management of designated fellowship competitions within an expanding portfolio of opportunities, as appropriate to the Manager’s background and experience
-Reinforce program objectives, learning goals, and other advising protocol and help identify resources that support student and alumnae growth in the context of the fellowships program and the larger goals of the Exploration and Experiential Learning team
-Maintain fellowship reports and other assessments to facilitate the identification of trends and leads for program development, with an eye to trends and best practices in the professional field
-Contribute to outreach and to the development of program curricula, including Career Education core programming

Resource Development

-In collaboration with the Program Director for Fellowships and the Marketing and Digital Media Manager, draft press releases and contribute to initiatives to recruit, inspire, and empower a strong and diverse pool of fellowship candidates
-In collaboration with Program Director for Fellowships, develop and maintain clear campus application procedures and mechanisms
-In collaboration with Program Director for Fellowships, develop training materials and other resources for applicants, as well as pre-departure and orientation resources for awardees
-In collaboration with Program Director for Fellowships, contribute to reporting and other stewardship responsibilities for Wellesley-funded awards

Student and Alumnae Applicant Support

-In collaboration with the Program Director for Fellowships, design and facilitate programming for applicants and fellows (both in-person and online)
-Serve as a resource to students and alumnae interested in applying for fellowships
-Participate in information sessions and provide timely, clear, and constructive guidance to prospective applicants, in writing and in person, to individuals and groups
-Work with awardees to ensure accurate reporting of fellowship outcomes and recording of fellowship activities
-Participate in promoting and representing the fellowships program at campus and outside events, when appropriate and act as point of contact, when required
-Provide logistical support to students and alumnae participating in the Wellesley College fellowship programs sponsored through Career Education

Requirements

-1-3 years relevant experience in education, fellowships, study abroad, or program development with a focus on student engagement, youth development, and/or education AND Bachelor’s degree OR Master’s degree, or other relevant advanced degree
-Experience in organizing and executing programs, events and resources geared towards a student audience, including training and facilitation
-Experience working with budgets or tracking finances
-Previous experience or interest in working with students or college-aged individuals
-Experience with or broad knowledge of and commitment to liberal arts education
-Broad knowledge of and commitment to experiential learning, fellowships, student development, and career development
-Experience in working closely with students, faculty, alumnae, community partners, and campus partners
-Experience creating and implementing programs, events, and webinars
-Qualified candidates are able to work independently and in a team within a culturally diverse environment; are aware of new technologies and trends; and demonstrate excellent interpersonal and communication skills.
-Excellent interpersonal communication skills (oral and written)
-High level of maturity and emotional intelligence
-Detail-oriented and able to execute programs and events
-Ability to write clear, concise material targeted to various audiences
-Ability to connect with students and colleagues in a relational manner; able to build trust and facilitate learning and communication
-Ability to assess and shift priorities and adapt to a rapidly changing and deadline-driven environment, including the ability to multitask effectively and efficiently with strong systems of organization
-Ability to simultaneously maintain a broad perspective on the goals of the fellowships program and focus on successful completion of specific details and tasks
-Ability to maintain confidentiality, exercise sound judgment, and act with discretion
